Dear Members

 

Firstly, I am sure you will all wish to join the committee in saying a HUGE thank you to our former Chairman, Ken Carre, for all his hard work and the contribution he has made to the Club throughout the many years he has served on committee.  In recognition of Ken’s tremendous contribution to the club, it was unanimously agreed at the AGM, to make him an honorary member.  We trust that Ken enjoys his well-earned rest from committee duties and look forward seeing him on a social level at the show ground!

 

Thank you to those that attended the AGM on Tuesday 8 November and for the positive contribution made by those who turned out.  The feedback received at the AGM was much appreciated.

Committee

We are delighted to announce that since the AGM, the Executive Committee have successfully persuaded Pippa Best to return to committee duties in order to fill the vacant position of Vice Chair which she will take up in an acting capacity with immediate effect.  Please see attached for details of your new BS Committee.

SPRING SHOW – Show Secretaries required

We are looking for at least two, if not three members to take over the organisation of the Spring Show next year.  This role involves taking entries, preparing the programme, arranging delivery of trophies, obtaining and collecting sponsorship and organising cover in the bus during the show.  Without volunteers, the show will not be able to go ahead so please step forward if you can assist the club in mounting this very important four day event.

Polite reminder regarding the use of reflectives

At the AGM it was requested that we remind our members to wear reflective clothing whilst hacking out during dawn or dusk.

 

All-Weather arena – picking up droppings

 

When using the all-weather arena, please could you ensure that any droppings are picked up and disposed of in the bins provided.

 

 

Christmas Rally – Sunday 11 December

 

If there are any juniors who are available to help decorate the jumps with Christmas decorations prior to the event, please contact Sarah Papadopoulou as above.

 

We also require a helper to do the gate duty from 12:00 to the finish on Sunday 11 December.  Please contact Sarah P if you are able to help, thank you.

If you would like to learn more about judging, scribing, commentating, time keeping or anything else to do with the running of the Club, events etc – especially our junior members, please do let us know by contacting any one of us.  We would be more than happy to show you the ropes.

Change in membership procedure

With effect from 1 January 2012, there will be important changes to the renewals and registration procedure of your membership of BS Guernsey which is in line with the requirements of the club’s organisational change to LBG (Limited By Guarantee) status.

Registration and renewals

From 1 January 2012, it will no longer be necessary for existing members to re-join and fill in membership forms, your membership will simply roll over to 2012 and you will be invoiced for your membership fee.  Invoices will be payable by 31 January 2012.

If invoices are not paid by the deadline, individuals will need to re-apply for membership by filling in the relevant forms and a ‘re-joining fee’ of £50 will be payable in addition to the usual subscription rates.  New members joining from the 2012 season onwards will also need to follow this procedure and pay a ‘joining fee’ of £50.

Payment of invoices will not be accepted without members providing options for dates and times that they are able to complete their ‘helper’s duty’. The process for providing this information as well as updated registration forms will be completed shortly and posted on the club’s website.  Members failing to provide ‘helper’s duty’ options prior to 31 January deadline will be subject to the ‘re-joining fee’ of £50.

The procedure for registering ponies and horses remains unchanged and members may do this on the publicised registration day, which next year will be 7 January 2012 at the clubhouse.

Changes to membership classification for members aged 16 to 18 years

The new LBG status also requires that to be a ‘member’ you must be 18 years of age or above on 1 January 2012.  This therefore changes the way we will classify members who are between the ages of 16 and 18 years at the time of registration.  Anyone who is aged 16 years on 1 January, will now be called an Associate member and will need to reference the name of a Senior member (whether a Riding member or a Social/Owner member) as part of their registration.  We will not be able to accept entries for Associates without reference to a senior member whether this is a parent or guardian. Registration for Junior members aged under 16 years remains the same.

Helper Duty Policy

After much thought, the committee has decided to implement a sanctions policy in respect of those members who fail to complete their four hour ‘helper duty’.  The sanction will only be applied where a member has agreed to a time and date and then fails to complete this duty without advising the helper co-ordinator in advance OR if a member has failed to agree and complete a helper duty before the end of the calendar year.

The club relies heavily on the support and help it gets from members to run events throughout the year and believes that asking individuals to devote just four hours of their time throughout the year, is not unreasonable.  Some members commit many more hours of their time but we feel it is unfair to be asking the same people over again when other members have not completed the minimum requirement of four hours.  In the event that a member does not turn up for their agreed helper duty the following sanctions will be applied with immediate effect until such time as they agree to and complete an alternative helper slot.

  • Suspension from using the clubs facilities
  • Refusal of entries
  • Refusal to accept membership renewal until the requisite helper duty has been completed
